Less uncertainty on collection day
Plan the pickup before you move the furniture.
A complete item list is only the start. These details help the reviewer understand the work and help you compare collection options.
Measure the item and its route
Write down width, depth and height, including fixed projections. Check the narrowest doorway, tight turns and stair landings along the proposed route. Describe any attached hutch, mirror or powered mechanism. Ask the crew what measurements or photographs it needs; do not attempt a difficult carry to test the route yourself.
Describe access in plain language
“Second floor, one full flight, turn at the landing” is more useful than “some stairs.” Mention elevators, reservations, loading areas, building access hours and parking restrictions. Check arrangements with your building manager where relevant. Avoid putting gate codes or other security credentials in the public request notes; arrange those directly if needed.
Compare the whole transport arrangement
- Which specific items are included?
- Who confirms the receiving organization and its acceptance?
- Does the plan include stairs, disassembly or special handling?
- What is the total quoted charge and what could change it?
- What happens if an item is declined or access differs from the description?
- Who provides the service invoice and who provides a charitable acknowledgment?
Prepare without creating extra risk
Empty furniture of personal belongings. Keep documents, medications and valuables out of donation boxes. Label boxes with a simple contents list. Do not disconnect plumbing, gas or electrical equipment unless a qualified person has made the appropriate arrangements. Confirm who is responsible for appliance disconnection before collection.
A collection-day check
- The final item list matches the agreed work.
- Acceptance and the intended recipient have been discussed.
- Charges and any handling conditions are understood.
- Items are clean, dry and ready in the agreed location.
- The carry path and access arrangements are clear.
- Personal belongings have been removed.
- Donation records and photographs are kept separately.
Example: a desk and office chair
List “1 large desk” and “1 office chair” separately. Add the desk’s dimensions and material, whether a hutch is attached and the floor it is on. If you also need moving help, choose that option in the request. The preferred date remains a request until the provider confirms it.
